R3 Events Terms & Conditions

General

  1. An "Event" means the event available for booking on the website or as advertised elsewhere and includes, but is not limited to, regional events, national events, courses, conferences and webinars.
  2. An “Online Course” means the course available for booking on the website or as advertised elsewhere, but is not limited to, Virtual Classrooms, Boot camps, Seminars, Webinars, On Demand and Certifications.
  3. "Fee" means the price of the Event or Online Course as indicated during the booking process or as promoted in any marketing materials.
  4. Please review all of the information you have submitted or will submit in respect of your booking before you make a booking request. By submitting a booking request, you confirm that all of the information you submit is accurate, true and complete.
  5. By submitting your booking request, you are offering to enter into a contract for attendance at the Event or Online Course.
  6. We reserve the right to reject any booking request we receive.
  7. All places on Events or Online Courses are available on a first-come, first-served basis.

 

Event Amendments 
Although every effort will be made to keep event or online course details as represented R3 reserves the right to make any necessary changes to the programme, including cancelling the event or online course, where required.

Events and online courses may be subject to cancellation or rescheduling at our discretion. If the event or online course is cancelled by R3 in its entirety, we will provide a refund for any event or online course fees paid by you as soon as possible. 

If the time or date of the event is changed subsequent to your booking, you will be notified and given the option to either transfer your booking to the new time/date, watch the recording or cancel your booking receiving a refund for any event fee paid.

R3 shall not be liable for any additional loss or damage resulting from such cancellation or changes.

 

Pricing

All prices advertised on the R3 website exclude VAT and the VAT will be added at time of payment.

Any fees displayed on the R3 website or provided in any communication or call may be subject to change without notice. R3 reserves the right to change the price of events, online courses, products and services from time-to-time.

We reserve the right, from time to time, to run special promotional offers on events and online courses. Special offers may include, but are not limited to, price promotions.

  1. In the event of a special offer, additional terms and conditions may apply which will be made available at the time of booking.
  2. Any places booked at an event or online course prior to the special offer being advertised will not be subject to the promotion retrospectively, unless specifically agreed by R3

 

Payment Terms

Bookings may be made on-line through the R3 website www.r3.org.uk. All events, online courses and conference bookings should be paid by credit card through the R3 website at the time of booking. In some circumstances R3 may offer the option to raise an invoice for a booking. It is up to the discretion of R3 to allow a delegate to pay by invoice.

For any invoices raised there is a payment term of 14 days from the date of issue of that invoice, subject to all invoices being settled in full prior to the event. Registrations received within 14 days of the commencement of the event or online course will be required to be settled in full prior to the event. Failure to make payment as required may result in cancellation of registration.

Please note your place is not reserved until a payment confirmation has been sent. Confirmation of a place will be issued via email on receipt of a completed booking form and full payment having been made. 

 

Regional events and webinars refund/cancellation policy

Refunds will only be issued in the following circumstances:

  • Overpayment
  • Applicant is found to be ineligible
  • Error in booking which is immediately notified to [email protected] 

Refunds will be made by payment direct to the credit card or bank account used to make the initial payment. R3 aims to provide refunds within 30 days of the refund request being authorised. 

If you wish to cancel a course or attendance at an event you must notify [email protected] immediately. Where a course or event booking is cancelled for reasons other than those listed above R3 may, at its sole discretion, issue a credit note, subject to the deduction of an administration fee of £10. Cancellations may only be considered by R3 where notification is made in writing or by email more than fifteen working days prior to the event or course.

Changes or cancellations to travel schedules will not be considered by R3 as a reason for cancellation of a booking at an R3 event. Credit notes will only be issued at the discretion of R3 and are only valid for 1 year from the date of issue.

R3 shall not be liable for any additional loss or damage resulting from a delegate’s cancellation, including, but not limited to, travel and accommodation, which R3 advises delegates to cover under separate insurance.

No refunds will be given for non-attendance on the day.

Delegate substitutions at events are permitted subject to notification in writing or by email to [email protected]. A supplement will be charged where there is a difference in membership category which must be paid in full prior to the event.

 

Conferences, online course series and large events refund/cancellation policy

Refunds will only be issued in the following circumstances:

Refunds will be made by payment direct to the credit card or bank account used to make the initial payment. R3 aims to provide refunds within 30 days of the refund request being authorised. Any refunds made will be subject to the deduction of an administration fee of £50.

If you wish to cancel a conference, large event or online course booking you must notify [email protected] or [email protected] immediately. Where a conference, large event or online course booking is cancelled for reasons other than those listed above R3 may, at its sole discretion, issue a credit note subject to the deduction of an administration fee of £50. Cancellations may only be considered by R3 where notification is made in writing by email more than 20 working days prior to the date of the conference, large event or online course start date.

Changes or cancellations to travel schedules will not be considered by R3 as a reason for cancellation of a booking at an R3 event.

Credit notes will only be issued at the discretion of R3 and are only valid for 1 year from the date of issue.

R3 shall not be liable for any additional loss or damage resulting from a delegate’s cancellation, including, but not limited to, travel and accommodation, which R3 advises delegates to cover under separate insurance.

No refunds will be given for non-attendance on the day.

Delegate substitutions are permitted at conferences or large events subject to notification in writing or by email to [email protected]. A supplement will be charged where there is a difference in membership category which must be paid in full prior to the event.

For online courses, there will be no substitution allowed for single classes in a series. The delegate can watch the recording after the session to catch up on the class missed. Full delegate substitutions for an Online Course are permitted subject to notification in writing or by email to [email protected]. A supplement will be charged where there is a difference in membership category which must be paid in full prior to the event.

 

Virtual events and education refund/cancellation policy

Refunds will only be issued in the following circumstances:

  • Overpayment
  • Applicant is found to be ineligible
  • Error in booking which is immediately notified to [email protected]

If you wish to cancel attendance at a live virtual event/course you must notify [email protected] immediately. Where a booking is cancelled for reasons other than those listed above R3 may, at its sole discretion,  issue a credit note, subject to the deduction of an administration fee of £10. Cancellations may only considered by R3 where notification is made in writing or by email more than ten working days prior to the virtual event date.

Changes or cancellations to travel schedules will not be considered by R3 as a reason for cancellation of a booking at an R3 event.

Credit notes will only be issued at the discretion of R3 and are only valid for 1 year from the date of issue.

R3 shall not be liable for any additional loss or damage resulting from a delegate’s cancellation, including, but not limited to, travel and accommodation, which R3 advises delegates to cover under separate insurance.

No refunds will be given for non-attendance on the day for virtual events and courses. No refunds will be given for on-demand courses or content.

Delegate substitutions are permitted subject to notification in writing or by email to [email protected]. A supplement will be charged where there is a difference in membership category which must be paid in full prior to the event.

 

Use of Photos/Videos taken during Events and Online Courses
R3 reserves the right to employ photographers or instruct R3 staff to take photography and video of delegates at any R3 face-to-face or virtual event for use in R3 marketing and other promotional materials. R3 reserves the right to use any images taken of delegates at an event for marketing and advertisement purposes, without any further approval required.

If you do not want your image used in our marketing materials, please advise us via writing to [email protected] or notify the event organiser prior to the commencement of the event.

Sessions are recorded and will be uploaded to the virtual platform and/or website after the event/online course.

 

Virtual Social Events

If participating in a virtual social event including but not limited to virtual food or alcohol tastings, R3 liability to attendees will not extend to any goods or services provided by any third party. R3 specifically excludes liability for any loss or damage suffered by an attendee as a result of her/his involvement in whatever manner with any third party.

Virtual events where alcohol or food or other items will be posted to the attendee’s home, require the attendee to have a UK postal address to participate and no refunds will be issued if booked incorrectly.

Virtual events where alcohol will be posted to the attendee’s home, require the attendee to be over 18 years of age, to participate. Alcohol can damage your health if consumed irresponsibly or in excess. Please drink responsibly, never drink and drive, and please heed recommended guidelines for drinking, which can be found on the Drink Aware charity’s website at http://www.drinkaware.co.uk/tips-and-tools/drink-diary/

Virtual events where food will be posted to attendee’s home, it is the individual’s responsibility to check all food packages/the ingredients before consumption and to store all food in an appropriate manner. R3 will not be liable for any loss or damage suffered by an attendee. R3 cannot cater to special dietary requirements and allergies for virtual food events and no refunds will be issued if booked incorrectly. 

 

Data Protection

R3 takes your privacy seriously. For information on how we retain and use your data please refer to the R3 Data and Privacy Policy. If this policy changes, you will be notified by e-mail or an announcement on the R3 website.

 

Attendee conduct

R3 reserves the right to remove any delegate from the event should their behaviour be deemed to be inappropriate by R3 or its partners. This would result in no refund of event fees or other costs incurred by the delegate being paid.

 

Joining an event

The registered delegate will receive joining instructions via email confirming timings and venues at least one week prior to the event or once your booking has been processed if you have booked within one week of the event or online course.

It is the responsibility of the delegate to notify R3 should they fail to receive delegate information at [email protected] or [email protected] This can happen for a number of reasons and we will endeavour to resolve the issue. Prior to contacting us, please ensure you have checked your email inbox as well as your spam and junk mail, just in case the joining instructions have been sent to these inboxes by your email client.

By attending an event or an online course you agree to adhere to all housekeeping rules, procedures and policies (including policies as to behaviour and conduct) that may be in place at any venue.

 

Competition and Prize Draw Rules

All prize draws and competitions which are associated with R3 are subject to separate terms and conditions. Prize draws are not open to employees, contractors, representatives or agents of R3. These terms and conditions override any contrary terms or conditions published by R3.

 

Distribution of promotional material

Attendees are not permitted to bring or distribute any promotional materials at the event or online course unless previously agreed with R3 as part of a sponsorship agreement or similar. If attendees are found to be breaking this condition, they may be removed from the event or online course.

 

Queries, complaints, comments

R3 will endeavour to respond within 48 hours to any complaint or query received regarding an R3 event or online course. This may be an acknowledgement that we have received a complaint whilst further investigations are carried out. If you believe that any of the information R3 holds about you is incorrect or out of date, please log in to the My Profile section of the website and edit your information. If the data is not editable, forward the accurate information to [email protected].

 

Liability

R3 liability to its members will not extend to any membership related benefits, goods or services provided by any third party. R3 specifically excludes liability for any loss or damage suffered by a member as a result of her/his involvement in whatever manner with any third party.

Reasonable effort is made to ensure the accuracy of information provided on our websites, in newsletters, and any other location or publication; however, neither we nor the authors can accept liability for errors and omissions.

Any typographical, clerical or other similar accidental error or omission made by us in respect of your booking shall be subject to correction without any liability on our part.

Our liability to you under or in relation to your booking and the Event (whether arising from an action in contract law, tort (including negligence) or otherwise) shall be limited as follows: (a) we shall not be liable to you in respect of any loss of profit, loss of anticipated savings, loss of goodwill or injury to reputation, loss of business opportunity, loss suffered by third parties or any form of indirect, consequential or special loss; (b) our total liability to you shall be limited to the amount of the fee paid by you.

 

Copyright

All copyright and other rights (including all intellectual property rights) in materials provided to you during or for the purposes of any of our events and online courses (including, without limitation, course notes, slides, brochures, articles or case studies) are property of the R3 or of our speakers. Delegates agree to be bound by copyright law with respect to use of R3 materials. Attendees agree not to reproduce, sell, hire or copy any materials (in whole or in part) and not to use such materials except for reference.

 

Force Majeure

If the event or online course cannot be held because of circumstances beyond our control (including fire, explosion, act of terrorism, or any act or event beyond our control) or because of any industrial action or dispute involving R3 or the hosting venue, or circumstances where speakers are not available for reasons beyond our control and substitutes cannot be found, R3 will refund all fees paid but will not be liable for any losses whether indirect or direct suffered by delegates as a result of the cancellation of the event.

 

Webinars

All webinar and online course purchases are for single user access only for use by the registered delegate and access information should not be forwarded on to third parties. The copying and/or distribution of R3 Webinar/Online Course recordings or materials is not permitted. Responsibility for the confidentiality of Course Video registration information and materials issued by R3 lies with the registered delegate and purchaser.

 

CPD Certificates

Delegates can request a CPD certificate for any course that you have completed by contacting us via email to [email protected] or [email protected]

 

Variations to these terms and conditions 

We may change the terms upon which we make events and online courses available from time to time without notice to you and any subsequent booking requests you may make will be subject to those changes. The most recent edition of these terms and conditions will be binding upon R3 members, subscribers, and users.
